Polaris’ Photo Sessions are an excellent opportunity for attending members to get posed photographs with one of the guests! Photo Sessions times are listed in your Pocket Program.
Photo Sessions generally take place both Saturday and Sunday. They can start as early as 9 a.m. and, while normally they are over by 6 p.m., we have had guests miss flights, and, accordingly, we’ve reschedule sessions for late Saturday night. All participating guests are normally contracted for a minimum of one Photo Session, which is up to one hour in length. However, it is important to note that if a guest’s line dissipates during the session, they are free to leave. Therefore, we suggest you line up for the start of the Photo Sessions to ensure you get the photos you want.
During each session the photos are taken by a professional photographer with a backdrop and lighting. When you arrive you will be asked if you want a printed 8″x10″ colour photo OR a digital file (JPEG) e-mailed to you OR both. The cost is the same no matter which option you choose. We anticipate that each photo will cost at least $40. Payment can be made by cash, debit or credit card (Visa or Mastercard only).
The price includes up to four (4) people per group and a premium will be charged for each additional person to ensure our guests and photographer, who are paid for their time, are properly compensated.
If you ask for the file to be e-mailed the staff will ask for your e-mail address and enter it on a computer. Please ensure you know your exact e-mail address (e.g. email@example.com versus firstname.lastname@example.org) and be clear if your e-mail address has any special characters such as underscores (_) or dashes (-).
When you get close to the front of the line, there will be a place for you to leave or remove any items you do not want in the photo (for example: bags, badge, lanyard, etc.) This location is meant as a courtesy, please do not bring any valuables as Polaris takes no responsibility for lost or stolen items.
Polaris’ Photo Sessions are very popular! To ensure that everyone gets to have their photo taken with their favourite guest, we cannot accommodate autographs or chats with the guest during photos. If you are near the front of the line and need an extra few seconds to prepare please step aside and let the next person in line go ahead.
Once your photo has been taken, you will be given a claim ticket with your photo number. KEEP this ticket and the number as it will be needed to get your printed photo, or as a reference if there is a problem sending your electronic file. Also remember to retrieve ALL items you left at the drop point before the photo and exit the room.
If you choose a printed 8″x10″ the photo will normally be available 3 to 4 hours after the session. However, Polaris is not able to guarantee photo pickup times, especially photo sessions late in the day (for example, late Saturday session may not be available for pick up until Sunday), and wait times will depend upon the number of photos to be printed. Printed photo pickup will be at a table outside the Photo Session Room. We regret that printed photos NOT picked up by the end of the convention can not be mailed.
While Polaris will make every effort to have your photos printed in time for scheduled autograph sessions, we cannot guarantee that this will occur. Members are advised to bring alternative items to be signed should their photo not be available in time.
Photos to be e-mailed may take up to sixty (60) days to be sent. If you do not receive your e-mail after that time, please contact email@example.com with the photo number from your claim ticket.
A reminder, we do not permit people to use their own cameras during our Photo Sessions.
